Workspace emails¶
Outcome¶
You will know which emails Threadory sends to the people who run a workspace while it is being set up and during the trial, when each one arrives, and who receives it.
Before you begin¶
- Nothing to configure: the emails are sent for every organization. Only the operator of the deployment can stop them.
- They go to the email address your Threadory account was created with.
Who receives them¶
Workspace emails go to the active owners of the organization. An organization without an active owner sends them to its active admins instead. Members and viewers never receive them, and neither does a deactivated account.
These emails are separate from the notification rules a project configures under Settings → Notifications, from invitation emails, and from document comment emails: those follow their own settings.
The emails¶
| When it arrives | Only if | |
|---|---|---|
| Welcome | Within minutes of creating the organization | — |
| Connect a source | On day 2 | No project of the organization has a connector yet |
| No review yet | On day 5 | A connector is installed, but no review has been posted yet |
| Trial ends soon | 4 days before the trial ends | The organization is still on the trial |
| Last day of the trial | During the last day of the trial | The organization is still on the trial |
| Trial ended | When the trial has ended | The organization did not move to a paid plan |
| On the Free plan | 3 days after the "Trial ended" email | The organization is still on the Free plan |
| Invite your reviewers | The day after the first review was posted | The organization still has one active member and no pending invitation |
Each email is sent once per organization. If nobody received it because delivery failed, Threadory tries again the next day while the email is still due — so in rare cases, when a mail server delivered a message but reported a failure, it can arrive twice.
The emails are plain text, in English, and contain one link: to the review quickstart or the Connectors page, to Activity, to Settings → Plan & Usage, or to Settings → Members. Each one ends with a link to your account and the reason you receive it.
Organizations on a paid or enterprise plan never receive the trial emails.
Except for the welcome, the emails are sent once a day, in the morning (08:00 UTC). An organization receives at most one of these emails per day: when two fall due on the same day, the second one waits for the next day.
Opting out¶
These are service emails about setting up the workspace and about the trial, and each one is sent once. There is no separate setting to turn them off. If your organization should not receive them, ask the operator of your deployment, who can stop them for the whole deployment.
Verify the result¶
After you create an organization, the welcome email arrives at the address of your account within a few minutes.
Common problems¶
| Symptom | Cause | What to do |
|---|---|---|
| No welcome email | Spam filtering, or outgoing email is not configured on the deployment | Check the spam folder; then ask the operator to check outgoing email |
| An email reached a co-owner but not you | Each owner receives their own copy, sent separately | Check the spam folder |
| Admins receive the emails, owners do not | The organization has no active owner | Restore an owner; see Members and roles for who can grant the role |
| A trial email arrived after you upgraded | The upgrade was not applied before that morning's run | Check Settings → Plan & Usage; contact us if the plan is wrong |
Next step¶
Connect a source, then add members.
