Your first closed loop

Outcome

You will take a meeting action item through approval and ticket creation to a traceable link with completed work.

Before you begin

  • a project with a meeting source and issue tracker connected;
  • an administrator or owner role to resolve approvals;
  • a test meeting with an explicit action item;
  • permission to create tickets in the connected tracker.

For the route that is live in production, use tl;dv as the meeting source and GitLab as the issue tracker. Zoom is an alternative meeting source (cloud recordings + transcripts) with the same downstream pipeline; it is Experimental in the integration matrix: no production install yet. Do not use customer data for the first run.

Steps

  1. Open Connectors and confirm that a meeting source (tl;dv or Zoom) and GitLab are connected.
  2. Select Sync now for the meeting source, or wait for its next scheduled synchronization.
  3. Open Activity and wait for the meeting to be processed successfully.
  4. Open Reports → Action items and find the relevant item.
  5. Select Create issue. If the action requires review, an Approval requested message links to Approvals.
  6. Review the title, description, source, and selected tracker. Edit the proposal before approval if necessary.
  7. Select Approve & create ticket. Threadory should create a GitLab issue and link it to the action item.
  8. Open the new issue through its external link and connect it to a merge request through your team's normal workflow.
  9. Close the issue after the work is complete and wait for the next webhook or synchronization.

Verify the result

  • the proposal is no longer pending in Approvals;
  • the action item in Reports links to the new ticket;
  • Graph Health includes the relationship between the ticket and action item;
  • after data refresh, the action item reflects the completed work.

Ticket coverage uses the relationship direction issue/ticket/PR → resolves → action item. Similar text without this relationship does not count as coverage.

Common problems

Symptom Likely cause What to do
The meeting does not appear The meeting-source filter excludes it, recording/transcript is missing (Zoom), or sync has not completed Check the connection filter, source health, and Activity
No proposal appears Processing found no action item or the run failed Open the meeting in Knowledge and the run in Activity
Approve is unavailable Resolving approvals requires an administrator or owner Hand the approval to a user with the required role
The issue is not created The GitLab connection cannot write or is unhealthy Check GitLab in Connectors, then retry safely
The relationship does not appear Ticket creation partially failed or data has not refreshed Do not create a duplicate; check Activity and the external issue first
